🚀 Getting Started

How do I get started with RC Payroll Solutions?

Simply get in touch via phone or email and we'll arrange a free, no-obligation consultation. We'll ask a few questions about your business, your current payroll setup, and what you need from us. From there, we'll put together a tailored quote.

If you're happy to proceed, we handle the transition for you, including notifying HMRC that we'll be acting as your payroll agent.

How long does it take to get set up?

For most businesses, we can have everything in place before your next payroll run. The timeline depends on how complex your payroll is and how quickly we can gather the necessary information, but we work to your schedule and won't leave you short.

Do I need to provide all my employee information upfront?

Yes, we'll need basic employee records to set up your payroll, including names, addresses, NI numbers, tax codes, and salary details. We'll send you a clear checklist of everything required. If some information is missing, we'll work with you to obtain it.

💼 Our Service

What does your managed payroll service include?

Our managed payroll service covers the complete payroll cycle: processing your pay run, calculating PAYE and NI, submitting RTI returns to HMRC, producing payslips, preparing BACS payment files, and handling starters and leavers.

Year-end tasks including P60 production and P11D reporting are also included. You'll have a dedicated payroll specialist throughout.

Can you handle weekly and monthly payroll?

Yes. We process payroll on any frequency, including weekly, fortnightly, four-weekly, and monthly. If you have different groups of employees on different frequencies, we can manage that too.

Will I have a dedicated payroll contact?

Yes, always. Every client has a dedicated payroll specialist who handles their account. You'll know who to contact, and they'll know your business. We don't operate a call centre model.

Can you handle statutory pay like sick pay and maternity pay?

Yes. We calculate and process all statutory payments including Statutory Sick Pay (SSP), Statutory Maternity Pay (SMP), Statutory Paternity Pay (SPP), and Shared Parental Pay (ShPP) as part of our standard service.

🏦 Auto Enrolment

What is Auto Enrolment and do I need to comply?

Auto Enrolment is a legal requirement for all UK employers. You must automatically enrol eligible employees into a qualifying workplace pension scheme and make employer contributions. Failure to comply can result in fines from The Pensions Regulator.

If you have at least one employee aged between 22 and State Pension age earning above the threshold, you have auto enrolment obligations.

What does your Auto Enrolment service cover?

We handle the full process: assessing employee eligibility every pay period, sending statutory communications to employees, processing opt-outs, submitting contribution data to your pension provider, and managing your three-yearly re-enrolment obligations.

Do you work with all pension providers?

We work with all major workplace pension providers including NEST, The People's Pension, Smart Pension, Aviva, NOW: Pensions, and others. If you already have an existing pension scheme in place, we'll work with that. If you need help selecting a provider, we can advise.

💷 Pricing

How much does your payroll service cost?

Our pricing is based on the number of employees and your payroll frequency. We provide clear, fixed-price quotes with no hidden fees. Get in touch and we'll put a tailored quote together for you, usually within 24 hours.

Are there any setup fees?

We keep our pricing simple and transparent. Any setup requirements will be clearly outlined in your quote upfront, so there are no surprises once you're onboarded.

What's included in the monthly fee?

Your monthly fee covers the full payroll cycle including processing, RTI submissions, payslip production, starters and leavers, statutory pay calculations, and access to your dedicated specialist. Year-end reporting including P60s is also included as standard.

🔄 Switching Provider

We already have a payroll provider. Can we switch to you?

Absolutely. Switching payroll providers is something we do regularly. We manage the transition process, including obtaining your historical payroll data and notifying HMRC. We aim to make it seamless with no disruption to your pay runs.

We currently do payroll in-house. Can you take it over?

Yes. Many of our clients have moved from in-house payroll to outsourcing with us. We'll work with you to extract the necessary data from your existing system and handle the transition carefully so nothing is lost.

🔒 Compliance & Security

Are you HMRC recognised?

Yes. RC Payroll Solutions is HMRC recognised and RTI compliant. We operate as an authorised payroll agent, meaning we can communicate and file directly with HMRC on your behalf.

How do you keep employee data secure?

We take data security seriously. Employee data is handled and stored in compliance with GDPR, using secure systems. Payslips are delivered either via encrypted email or through a secure cloud portal. We do not share data with third parties outside of what is required for payroll processing and statutory reporting.

What happens if payroll legislation changes?

Keeping on top of changes to payroll legislation is part of what you're paying us for. Whether it's National Minimum Wage uplifts, tax code changes, new statutory pay rates, or legislative updates, we implement them automatically and inform you of anything that directly affects your business.
